It also describes your rights regarding our use of your data. In collecting your personal data we are acting as a data controller.
Your access to our website, use of our services and job applications are also subject to the specific terms that govern those areas and these should be read alongside this privacy notice.

When do we collect your data?
We may collect your data in the following ways:
- Information you give us – This could be by visiting our website, by filling in a form, by purchasing and/or using a product or service from us, by communicating with us via email, web forms, social media, telephone calls, chat or other methods of communication, by signing up for a webinar or attending an event, by subscribing to receive 1Spatial marketing material, by applying for a job or by providing services to us.
- Information we collect about you via automated means – When you visit our website, view a 1Spatial advertisement on a third-party website or read an email, we may automatically collect information about you via cookies, tags and similar technologies. - Information we receive from other sources – We may receive information from third parties, such as independent exhibition organisers, suppliers, partners, sub-contractors, social media platforms and paid advertising platforms. We have carefully selected these third parties through a due diligence process to ensure that Personal Information is adequately protected.
- Information we may collect from publicly available sources – from time to time, we may collect personal data about you, which can be collected from publicly available sources (including open source data sets or media reports) or that you or a third party has made publicly available.
What type of personal data do we collect?
In providing our website, services and processing any job applications, we may collect and process different types of personal data about you for different processing purposes. The types of personal data we collect depends on who you are and how you interact with us and includes the following:

Use of website

| Hosting and managing events or webinars | From time to time, we may organise, sponsor and host events or webinars for the purpose of promoting our business or other reasons. If you register for or attend one of our events or webinars, we may use your Identity data and Contact data to record your attendance at the event or webinar and for related record-keeping purposes and, if relevant, we may collect and process any dietary requirements you may have. You may also feature in photographs taken at our events and such photographs may appear in publications that we make available.

Job applications
| If we use your personal data in connection with our recruitment activities | We use your Job application data for recruitment purposes, in particular, to assess your suitability for any of our positions that you apply for, whether such application has been received by us online, by email or by hard copy and whether submitted directly by you or by a third-party recruitment agency on your behalf. We also use your Identity data and Contact data to communicate with you about the recruitment process, to keep records about our recruitment process and to comply with our legal and regulatory obligations in relation to recruitment.
Where we use your personal data in connection with recruitment, it will be in connection with us taking steps at your request to enter into a contract we may have with you or it is in our legitimate interest to use personal data in such a way to ensure that we can make the best recruitment decisions. |
How long do we store your data for?
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

We only share personal data with others when we are legally permitted to do so. When we share personal data with others, we make sure that there are appropriate contractual and security arrangements in place to ensure the continued safeguarding of your personal data.

The security of all personal information is very important to us. We have taken the necessary and appropriate technical and security measures to safeguard personal data, which we review routinely. In the UK, we are certified to Cyber Essentials Plus and are working towards achieving certification of the international information security standard, ISO/IEC 27001.

If you follow a link to any of these websites, we do not accept any responsibility or liability for the way they handle your personal data or their privacy practices. We acknowledge that the information you provide may be confidential. We do not sell, rent, distribute or otherwise make Personal Information commercially available to any third party, but we may share information with our service providers for the purposes set out in this Privacy Notice. We will keep your information confidential and protect it in accordance with our Privacy Notice and all applicable laws.
Your rights as a data subject
We respect and place significant importance on your rights. If you wish to exercise any of these rights, please email data.protection@1spatial.com or, in the case of your right to opt out of direct marketing, follow the instructions below. To process your request, we may ask you to provide identification details for verification purposes.
Your rights are as follows:
- The right to opt out of direct marketing
You may opt out of receiving direct marketing at any time. You may exercise this right by following the “unsubscribe” link on our website, following the unsubscribe link in relevant emails or by emailing us at: data.protection@1spatial.com.
- The right to be informed
As a data controller, we are obliged to provide clear and transparent information about our data processing activities and the data that we hold about you. This is provided by this privacy notice and any related communications we may send you.
- The right of access
You may request a copy of the personal data we hold about you free of charge. Once we have verified your identity and, if relevant, the authority of any third-party requestor, we will provide access to the personal data we hold about you.
You will not have to pay a fee to access your personal data. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may respond in an appropriate or proportionate manner to your request.
- The right to rectification
If you believe we hold inaccurate or incomplete personal information about you, you may exercise your right to correct or complete this data. This may be used with the right to restrict processing to make sure that incorrect/incomplete information is not processed until it is corrected.

- The right to erasure (the ‘right to be forgotten’)
Where no legal basis or legitimate reason continues to exist for processing personal data, you may request that we delete the personal data. We will take all reasonable steps to ensure erasure. If we have shared your personal data with others, we will let them know about the erasure where possible.
- The right to restrict processing
You may ask us to stop processing your personal data. We will still hold the data but will not process it any further. This right is an alternative to the right to erasure.
- The right to data portability
You may request your set of personal data be transferred to another controller or processor, provided in a commonly used and machine-readable format. This right is only available if the original processing was done on the basis of consent, the processing is by automated means and if the processing is based on the fulfilment of a contractual obligation.
- The right to object

If we are unable to demonstrate our legitimate grounds for that processing, we will no longer process your Personal Information for those purposes.
